Remote Visitor Reception Management

InstaPass can easily provide a remote visitor management system for the use by the many organisations that have an un-manned reception area.

Many organisations require to be able to manage the arrival of their visitors at an unmanned reception area.

With InstaPass this can quickly be achieved using this typical working scenario:

  • Your visitor arrives and a 'notice board message' requests them to use the telephone in your reception area to Dial 0 (for example) for your 'receptionist'.
  • Your 'receptionist' may in fact be someone that actually works say in your accounts office nearby or in another building and has InstaPass software running on their work station.
  • So in the normal way, your 'receptionist' now talks to your visitor over the telephone. To help communication (optional) we can provide a low cost web camera that is positioned in your reception area so that your 'receptionist' can see the visitor being greeted (this camera is plugged into your office computer network at your reception area and viewed using the 'receptionists work station').
  • Also a small computer printer (plugged into your office computer network) is located at your reception area (near the visitor telephone) to print the visitor badge on.
  • Your 'receptionist' now asks the relevant questions of the visitor over the phone and then clicks the InstaPass pass print button.
  • This results in an ID pass (without ID photo feature) being printed on the printer where the visitor is currently standing, and an auto email announcement goes out to the person that the visitor will be meeting.
  • That person could now go and collect their visitor and your 'receptionist' carries on with the normal work they do without even leaving their own 'remote from reception' desk.
